Recording Time and Attendance

For Traumatic Injuries:

Injured employees may elect to use their own sick or annual leave or COP, if eligible, for any work absences.  If the employee chooses to use personal leave, code "66 OWCP (Day of Injury Only)" should be used to record the employee's absence on the date of injury.  Only the number of hours missed from work should be recorded under this code. If no time is lost on the date of injury, the time included under the"66 OWCP (Day of injury Only)" code should be input as “0”.  At no time should the code "66 OWCP (Day of injury Only)" ever be used beyond the date of injury.  

For COP time-loss on days after the date of injury, code "67 OWCP Injury/Leave should be used.  Once again, only the actual number of hours missed from work should be recorded under this code.  Please remember that COP is a limited entitlement (45-calendar days after the date of injury or the date of first lost time if it occurs within the 45-calendar period following the date of injury) and that all absences charged to OWCP leave must be supported by medical documentation. 

If the injured employee chooses to use their own leave, use code “62 Sick Leave w/OWCP (Injury)” for sick leave usage or code “61 Annual Leave w/OWCP (Injury) for annual leave and only record the actual number of hours missed from work relating to the injury.  Note: These codes should also be used for time loss beyond the COP entitlement period.

For Occupational Illnesses and Diseases:

Occupational illnesses and diseases are reported on the form CA-2, Notice of Occupational Disease and Claim for Compensation. Employees with occupational disease or illness claims are not entitled to Continuation of Pay. They may elect to use their own sick leave, annual leave, or leave without pay (LWOP) for any work absences pending adjudication of the work-related injury claim by DOL-OWCP. If the employee elects LWOP, code "71 LWOP w/OWCP (Illness)” should be used. If the claimant uses annual leave, use code “61 Annual Leave w/OWCP (Illness),” and if they use sick leave, use code “62 Sick Leave w/OWCP (Illness)”.  Only the time loss related to the illness should be recorded under the above codes and all absences must be supported by medical documentation.
